The Document Control Specialist is involved in multiple areas of administration and is a highly organized professional who applies his/her skills to support several departments.
Responsibilities
- Assist Management Representative to manage several areas of Document and Record Control.
- Processes Document Change Requests (DCR) to ensure initiator(s) follows all steps required for completion and that DCR is approved as per written procedure. Releases and publishes documents in approved location and/or affected parties. This includes uploading applicable documents to training platform.
- Manages Document Control log and makes all necessary entries.
- Maintains Master folders of controlled documents.
- Coordinates periodic document reviews with related subject matter expert(s) SME.
- Audits production records to ensure all necessary data and signatures have been collected. Brings errors and omissions to the attention of department supervisors and heads so needed corrections are made.
- Assist Quality department to investigate and research events that result in gaps associated with the document control system.
- Assist other office personnel in general recordkeeping and filing activities.
- Perform other functions as required.
- Associate (AA) degree or Bachelor degree required.
- Capable of accomplishing tasks in an organized and efficient manner, demonstrating initiative to research and gather necessary data to successfully solve work related problems.
- Skilled in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) is required.
- Ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment
- Able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, and rapidly changing environment.
- Excellent written and oral skills in English and Spanish.
- Detail oriented.
