- Enters, information in the payroll system;
- Ensures proper processing of payroll deductions
- Ensures accurate and timely processing of payroll updates
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Assists in reconciling of payroll data for 401(k).
- Monitors payroll package delivery and handles issues.
- Runs payroll-related reports.
- Ensures accurate and timely EDI with vendors.
- Updates payroll-related SOPs and keeps all current.
- Communicates with employees regarding their needs for leave(s) and/or modified work schedules.
- Assists with leave administration process from the employees’ initial notice of the need for leave(s) to the return to work.
- Maintains reasonable communication with employees on leave(s) to facilitate a smooth and timely return to work.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
- Assists HR Manager in accurate and timely OSHA reporting and posting requirements.
- Preserves confidentiality of employee medical documentation and files.
- Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
- Other duties as assigned.
- Business level English – read/write/speak/listen.
- Basic level Japanese preferred – read/write/speak/listen.
- Other languages (Spanish, Chinese, Korean) are a plus.
- Ability to work independently and as a team.
- Ability to adapt to frequent changes in assignments and workload
- Bachelor’s Degree in Human Resources or related field, or equivalent work experience.
- Minimum 2 years of progressive experience in the payroll process and leave administration.
- Excellent verbal and written communication skills and interpersonal skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent organizational skills and attention to detail.
- Familiarity with laws, regulations, and best practices applicable to payroll process and leave administration.
- Strong analytical and problem-solving skills.
- Proficient with Microsoft Office Suite.
- Proficient with payroll and HRIS system.
